How Urban Managers are communicating quicker with AI

Urban management teams communicate constantly with their members. Street works updates, event invites, parking changes, area announcements - keeping entrepreneurs and members informed is a workload. Writing those messages, adapting them for different audiences, translating them into multiple languages, and making sure they sound professional is work that adds up, especially for managers who cover their area part-time.

The AI Content Assistant in UrbanOS was built to make writing quicker and easier. It lets urban management teams write, refine, and translate messages directly in the message composer - without leaving the platform (no need to open Claude, Gemini or ChatGPT), without copying and pasting into external tools (no need for Google Translate or DeepL) and without spending ten minutes on a message that should take two (Is this grammatically correct, how do I say this word?).

How the AI Content Assistant Works

There are two ways to use it. If you're starting from scratch, click the AI icon in the message toolbar, describe what you need in plain language, and the assistant generates a complete draft. "Write an invite for the summer market opening on the main square - free entry, starts at 4pm" becomes a warm, properly structured message for your event in seconds.

If you've already started writing, a Refine button appears with three options. Shorten condenses a draft that's grown too long. Elaborate fleshes out a rough note into something complete. Rewrite with prompt lets you give a specific instruction - "make it less formal", "add a note about accessibility" - and the assistant rewrites accordingly.

The assistant does not publish automatically. You review the draft, make any adjustments, and click Insert. Nothing goes out without a person reading it first.

Where AI Member Communication Makes the Biggest Difference

In areas where members speak multiple languages, the assistant can help speed up translation and keep phrasing consistent, without switching between tools.

For BID and city centre managers, the benefit is often more about writing clarity under time pressure. Quick prompts can turn a few bullet points (e.g., a road closure on market day or a change to waste collection) into a clear, structured update, which matters when you manage the area a few days a week and every hour counts.

Across both cases, the goal is the same: less time spent rewriting and second-guessing tone, and more time spent on deciding what to communicate.

Better member communication also has a compounding effect: the more frequently and clearly members are kept informed, the more they engage with the app, which in turn improves adoption and participation across the area.

One aspect of the Content Assistant that's easy to overlook: it can be configured to match your organisation's voice. Through the AI Rules settings, you can define how the assistant should write - the level of formality, specific phrases to use or avoid, how to address members. Once those rules are set, every AI-assisted message reflects them, regardless of who on the team is writing.

For organisations managing multiple areas where tone consistency is a real concern - where a new team member's messages sound noticeably different from those of an experienced manager - this is the most durable benefit.

The Content Assistant is available in UrbanOS for web. To enable it for your community, reach out to your contact at City Connect. AI Rules can be configured under Management → AI Rules in your community dashboard.
